Transcription of audio and video content and improved image analysis using AIPermanent link for this heading

Fabasoft Approve now supports automatic transcription of audio and video content as well as improved image analysis using AI. When such files are used in the context of issue registration, their content is automatically analyzed and displayed in text form. For images, an image description is generated, and for audio and video files, a complete transcript is created. This information is displayed during the registration process and is also used to automatically pre-fill the issue description and other fields relating to the issue.

Furthermore, the AI now recognizes the relevant content of an image much more reliably and places this information more precisely in the technical context so that the metadata of the issue can be pre-filled even better.

Preparing lettersPermanent link for this heading

Fabasoft Approve now supports the convenient preparation of letters before they are actually sent. During this preparation step, the required attachments can be copied so that they are protected from subsequent changes. In addition, you can specifically select which document entries and comment entries should be included in the letter.

Furthermore, if necessary, you can include additional files that are only valid for this one mailing and are not permanently stored in the system. Cover sheets are automatically attached to selected document entries, if defined.

Two new fields are available on document entries and comment entries for fine control:

  • Exclude from applying cover sheet: Prevents a cover sheet from being added to this entry.
  • Exclude from letter sending preselection: Ensures that the entry is not automatically selected when preparing the letter. However, it can still be added, copied, and sent manually.

These enhancements enable more precise control over the mailing process and ensure that letters can be compiled exactly as required.

Creating and providing documents as a supplierPermanent link for this heading

In Fabasoft Approve, suppliers can now provide documents without a prior request from the customer. This feature enables a significantly more flexible exchange of documents. If the customer allows it, the supplier can upload relevant documents (e.g., quality and test certificates or operating instructions) independently without having to create a request first.

As soon as a document has been provided, the customer receives a corresponding activity. In this activity, they assign the document to the correct document list. All further steps run as usual via the regular approval and review process.

Linking meetings between actions and open pointsPermanent link for this heading

Fabasoft Approve now allows you to link meetings between action item lists and open point lists. The lists can be linked using the “Assigned Open Point Lists” field in an Action Item List or the “Assigned Action Item Lists” field in an Open Point List, allowing meetings between both lists to be used.

When linking, the meetings from the assigned action item lists are given priority. This is particularly relevant when exporting and importing lists: If no matching meetings are found when importing an open point list, the system automatically searches the Assigned Action Item Lists for corresponding meetings.

Commenting on comment itemsPermanent link for this heading

The comment function for comment items has been expanded in Fabasoft Approve. From now on, comment items that do not originate from document items can also be edited directly using the integrated comment function.

This allows queries or additional information to be recorded directly in the context of a comment item. At the same time, these items can now be recorded in the aggregated comment log, which significantly improves traceability.

The 360-degree views in Fabasoft Approve have been further optimized so that they can now be integrated and adapted much more easily into customer-specific solutions. This means that individual overviews can be provided more quickly and designed more flexibly without complex configuration.

Transcription of images, videos, audio files, and emailsPermanent link for this heading

Fabasoft Approve now enables the transcription of audio and video content and the creation of image descriptions for images. The analysis can be started directly in a shelf via the context menu (right-click under “Generate Description/Transcription”) for individual files and is available in all application areas of Fabasoft Approve.
