AI-supported Metadata ExtractionPermanent link for this heading

Fabasoft Approve now enables AI-supported metadata extraction based on freely definable models. The AI automatically extracts relevant information and enters it into the corresponding object properties. This reduces manual data entry errors and drastically speeds up document workflows:

  • Intelligent Value Extraction: Relevant properties (such as technical specifications, dimensions, tolerances, or IDs) are extracted directly from the document content by the AI and presented in a structured format.
  • AI-supported configuration assistance: Prompts, synonyms, and examples for extraction do not need to be laboriously formulated manually but can be generated with the help of AI.
  • Multimodal analysis: In addition to text, the AI can also analyze tables, diagrams, technical drawings, and images. This allows for the identification of information that cannot be derived from the body text alone.
  • JSON interface: Metadata extractions and extraction definitions can be imported quickly and easily via the JSON interface.
Setup in the ConfigurationPermanent link for this heading

First, a metadata extraction must be created in the “AI Elements” list in the configuration. For each property to be extracted, an extraction definition is created in the metadata extraction and the corresponding target property is assigned.

The following screenshots show an example extraction definition for the installation height of a transformer:

The system actively assists you in setting up extraction definitions: Using the “Populate with AI” context menu, the AI automatically generates the appropriate prompt, relevant synonyms, and practical examples for the property value based on the target property.

Performing Metadata ExtractionsPermanent link for this heading

Once a metadata extraction has been configured and approved for an object, the “Extract Metadata” action becomes available to users in the context menu of that object, where they can select and start the desired metadata extraction.

Once all metadata has been extracted, the object’s properties open for editing. Properties populated by AI are highlighted in color.

Smarter AI Chat with Metadata ContextPermanent link for this heading

The AI chat now also takes into account the metadata of the current object. This provides the AI with more context and enables it to answer questions more precisely.

In addition to the document content, factors such as status, creation date, responsible parties, project information, or properties from categories are incorporated into the response generation. Which metadata is taken into account can be configured individually. As a result, the AI chat provides answers that are even more relevant and better tailored to the specific object.

In addition, the chat interface has been redesigned. When chatting with structured objects, only the chat is now displayed. The split view with document preview remains only when chatting with individual documents. This keeps the interface clear and organized, especially during lengthy chats.

Changes to Search-Based ListsPermanent link for this heading

Search-based lists have been further optimized. Deleted items are no longer displayed in these lists and therefore no longer affect search results or list views.

Deleted items remain available and can be found, if needed, via the Recycle Bin of the respective room or through the full-text search or search folders. This makes search-based lists clearer and ensures they contain only active content.

Improved Synchronization of Requested DocumentsPermanent link for this heading

Synchronization between a document and a requested document (document instance) has been enhanced. In addition to metadata, properties of document entries – such as the name and shared category properties – are now also transferred.

As a result, additional information – such as details added by a supplier – is also available in the requested document. This information can then be directly incorporated into and reviewed during review or approval processes.
