AI UpdatesPermanent link for this heading

Further improvements and enhancements have been implemented in the area of AI functionality. The focus was on AI-powered metadata extraction, which can now be configured with significantly greater flexibility.

This allows users to specify how the extraction should be performed. In addition, the generated results can be validated or consolidated. Documents can be prioritized based on their relevance, so that certain sources are given greater weight in the response than others.

Furthermore, images within documents can now also be analyzed. It is also possible to specifically select individual pages for metadata extraction, thereby allowing for more precise control over the scope of the analysis.

The new fields in detail:

  • Use LLM Only (SOLAPPROVEBASE@111.100:aillmextraction)
This should improve the quality of the response by incorporating the various perspectives considered by the LLM.
  • Consolidate Answers (SOLAPPROVEBASE@111.100:aillmconsolidateanswers)
The responses generated by the LLM are consolidated and ranked.
  • Priority (SOLAPPROVEBASE@111.100:fldaipriority)
The document can be prioritized based on how important it is for response generation. Example: The data sheet is more important than the assembly instructions.
  • Analysis Type (SOLAPPROVEBASE@111.100:fldaianalysistype)
In addition to text, images can now also be analyzed. This has the advantage that the LLM can better recognize connections and process information from graphics and images in a more targeted manner.
  • Pages for AI Metadata Extraction (SOLAPPROVEBASE@111.100:fldaipageranges)
Users can specify whether the system should pass only certain pages of a document to the LLM. This allows for precise control over which document sections are included in the response generation and which information should be excluded.

The new fields in use:

AI form for the work objects on which the AI actions are performed.

AI form for the data objects that should contain the responses.

Solution Area: Correspondence ManagementPermanent link for this heading

The following new features await you in the correspondence management solution area.

UsersPermanent link for this heading

As a user you can expect the following new features.

Carry Over Comment Items to RevisionsPermanent link for this heading

The management of comment items has been improved as part of the revision process for documents, actions, and open items. When creating a new revision, users can selectively carry over comment items to the new revision instead of automatically leaving them in the current revision.

Similar to document items, you can select which comment entries should be copied to the new revision. This helps ensure that comment items remain properly associated with the respective revision and improves the traceability of changes.

Improvements to Forms and CategoriesPermanent link for this heading

The use of standard attributes in forms and categories has been revised to prevent configuration errors. As a result of this change, only fields from object classes that are available in all object classes specified in the “Applicable for” field can now be used.

For example, if a form uses the object classes “Document” and “Document Instance,” only those standard attributes that are present in both object classes – such as the “Comments” field – can be used.

Improvements to PDF Document StampingPermanent link for this heading

The feature for stamping PDF documents has been enhanced. The metadata stamp feature now also supports the following correspondence management objects:

  • Letters
  • Cases
  • Documents
  • Actions
  • Open Items

In addition, existing annotations are retained after a stamp is applied and are no longer overwritten.
