Improved Aggregated listsPermanent link for this heading

The aggregated lists for documents, action items, and open points have been fundamentally revised in Fabasoft Approve and converted to search-based lists. This means that you can now search for entries across revisions. Not only titles or names are taken into account, but also content from entries and comments.

This makes it much easier to find specific information, especially in large projects with many revisions, comments, and attachments. For example, you can search for specific keywords and immediately receive all relevant hits across the entire object.

In addition, filters (known as facets) are available on the right-hand side. These allow you to:

  • Display comments from the current revision,
  • Show all comments throughout the entire lifecycle of a document,
  • Or filter specifically for certain entry types.

Combined views – such as an aggregated list of all document and comment entries – also benefit from this search function. Here, too, corresponding facets are available on the right-hand side.

Quality GatesPermanent link for this heading

The new Quality Gates allow documents to be specifically controlled and monitored. These can be defined on project or shelves and then be assigned to individual documents.

When a quality control gate is selected, Fabasoft Approve automatically saves the corresponding due date. Any changes to these dates are documented, ensuring complete traceability.

In addition, notifications can be used for upcoming due dates. This allows you to keep track of important milestones and ensure that defined quality requirements are met on time.

Improvements for External Letter SendingPermanent link for this heading

The letter sending function in Fabasoft Approve has now been extended to include the following feature: Documents, action items, and open points can now be sent by email to external recipients, including their associated document and comment entries.

All emails sent are automatically saved in the context of the respective letter. This ensures that all communication is documented in a traceable manner.

New Document Sleeve PagesPermanent link for this heading

Additional tiles have been added to the document sleeves in Fabasoft Approve. These tiles directly display the document and comment items for the latest document.

This means that key information is available at a glance without having to navigate to individual areas first. This makes operation more efficient and relevant content more visible.

The modern dashboard view in Fabasoft Approve has been extended to include additional objects, including documents, document instances, document sleeves, action items, and open points.

Important information is displayed in a structured manner in tiles. This ensures a tidy interface and makes it easier to find your way around, especially in large projects with many objects involved.

AI-supported metadata extraction when importing issuesPermanent link for this heading

When importing issues – for example, via web service or user interface – Fabasoft Approve now supports automatic metadata extraction using AI.

The AI analyzes the imported information and automatically fills in relevant metadata fields. This feature was previously only available for manual issue registration. Now, imported issues also benefit from structured pre-filling, which reduces manual effort and improves data quality.

AI-supported summarizePermanent link for this heading

Fabasoft Approve now supports the automatic creation of summaries using artificial intelligence. This allows extensive documents to be quickly reduced to their most important content.

This is based on a template that you can configure individually. Among other things, you can specify:

  • the language in which the summary is created,
  • the object types for which the function is available,
  • the specific instructions to be taken into account by the AI,
  • and the maximum length of the summary.

In addition, you can define which properties of the object should be included in the summary as context. The corresponding metadata is then taken into account during generation.

The summary is then saved directly on the object in its own tile in Markdown format.
