Fabasoft Cloud 2025 August Release

Users

As an end user you can expect the following new features.

• The External Members May Be Added option for Teamrooms allows you to specify whether external members or users not belonging to the organization can be authorized. The option can be changed by team members with “Full Access”.
  If external members or users not belonging to the organization are authorized, this is indicated by a status symbol.
• If a value or text filter is active for a column, the other filter field is displayed in read-only mode (highlighted in gray). The filter can only be changed once the active filter has been deleted. An active column filter is indicated by the filter symbol highlighted in blue.
• When defining the signature elements, these are highlighted in different colors for each signee to make them easier to distinguish (5 basic colors with 4 gradations each; the colors are repeated from the 21st signee onwards). The color yellow is used for “Do not assign a signee”. The assignment of the color to a signee is not permanent and can change when the document is reopened.
• The “Tools” > “Optimize for Fast Web View” context menu command can be used to restructure PDF documents so that the documents do not have to be fully loaded before they can be displayed. The context menu command is not offered if the PDF document is already optimized or password-protected.
• In the support dialog of the mobile app, the selection of a support team is possible.
• The “Ask Questions” action can be restricted to specific folders of a Teamroom (“AI Settings” tab), if necessary. If a restriction is defined, only documents that are stored directly in the specified folders are taken into account. Subfolders and documents stored directly in the Teamroom are not taken into account.
  The setting can only be changed by users who are authorized via the “Edit Insight Apps and AI Settings” policy.
• The Ready for AI Use field (“General” tab) shows whether the current version of an object has already been prepared for AI use.
• The “Tools” > “Calculate Usage” context menu command has been renamed to “Determine Status”. In addition to consumption, the indexing status for AI usage can now also be determined.
• The object aspect hierarchy is taken into account throughout the Fabasoft Cloud (e.g., when restricting the usage to object aspects for templates, processes, forms, text modules and so on.

Administrators

As an administrator you can expect the following new features.

• The Synchronization Mode policy has been moved from the “Actions” tab to the “Content” tab and split into two policies to allow independent settings for members and external members. For existing organizations, the currently defined value is initially used for both policies.
• Using the External Members May Be Added policy (“Teamroom” tab), you can specify whether external members or users not belonging to the organization may be added to Teamrooms by default.
  • The policy setting is applied to new Teamrooms.
  • The policy is enabled for existing organizations and disabled for new organizations. The corresponding option is enabled for existing Teamrooms.
